Job Title: Accounting Specialist – Contracts & Grants

Summary: The Accounting Specialist – Contracts and Grants is responsible for financial management, reporting and administration of all publicly and privately funded contracts and grants for the organization in accordance with grantor/funder mandates. The Specialist oversees the functions of contract and grant compliance, budget revisions, renewals and/or amendments of existing contracts, negotiations of new contracts and grants, billing on and collection of contracts and grants. The position coordinates monitors and evaluates the fiscal and program operations personally and in collaboration with program staff. The Specialist is the primary liaison between the organization and its public grantors and private funders. This position is full-time, exempt.

Salary & Benefits: Compensation will be commensurate with background, experience and track record of success. Benefits package includes medical (HMO 100% paid; PPO 80% paid) and 403 (b) match of 1% of base salary after one year of employment, as well as generous sick, vacation and holiday schedules. Dental, vision, accident, cancer and life policies also offered; however, up to $25 is paid by St. Vincent de Paul and the remainder is paid by the employee.

The individual must have strong interpersonal, communication, and writing skills, and the ability to exercise effective judgment in a highly visible role.

Specific Duties & Responsibilities:

  • Manage all financial and reporting aspects of funder relationships; collaborate with program directors/managers to review & finalize funder proposals & budgets, address payment inquiries and resolve invoice discrepancies.
  • Manage all sub-contractor and sub-grant agreements and collaborate with program staff to ensure all goals are met and payment remitted in a timely manner.
  • Assist with the Society’s budgeting and planning activities, specifically as related to grants and contracts.
  • Manage the financial records of all grants and contracts, including maintaining documentation on all matters related to grants; ensure all reporting requirements are met; advise staff on allowable and unallowable costs; ensure timely submission of invoices and request for reimbursement.
  • Ensure compliance with applicable federal and/or state laws, regulations, and/or agency rules, standards, guidelines, etc.
  • Monitor grant and contract financial performance, including the preparation of monthly reporting to Program Directors.
  • Oversee the post-award review of grants and contracts to ensure compliance with applicable funder guidelines; maintain grant funds, manage records, reports, controls and conditions governing expenditure of funds.
  • In coordination with development and program staff, ensure for timely and accurate reporting to funders, both programmatic and financial.
  • Establish and maintain a good rapport and working relationship with financial counterparts at funders.
  • Other duties may be assigned as required.

Primary Functions Include:

  • Administer the organization’s grants and contracts, ensuring compliance with OMB circulars applicable to nonprofit organizations, and assist program staff with grant budgets and proposals.
  • Maintain written policies and procedures as they pertain to maintenance of the organization’s internal controls and accounting policies specific to contracts and grants.
  • Ensure accurate reporting of labor distribution for approximately 100 employees (across multiple cost centers) via ADP TLM ezLaborManager

Requirements:

  • Minimum of 5-7 years progressively responsible experience in a not-for-profit organization.
  • Thorough knowledge of not-for-profit accounting, particularly as it relates to grant/contract management.
  • Minimum of a bachelor’s degree in accounting or business administration. Significant/relevant work experience would be considered in lieu of degree.
  • Working knowledge of Financial Edge accounting software and proficiency in Microsoft Excel.
  • Commitment to the Mission of St. Vincent de Paul Society of San Francisco.
